Terms and Conditions

1.- SCOPE OF APPLICATION

These General Terms and Conditions apply to all VERBUM LAB programmes. The teaching provided during VERBUM LAB courses leads to the award of a VERBUM LAB certificate. These General Terms and Conditions have been drafted in accordance with: (i) Royal Legislative Decree 1/2007, of 16 November, approving the Consolidated Text of the General Law for the Protection of Consumers and Users; (ii) the legal regulations applicable to non-regulated teaching; and (iii) other applicable regulations. The specific conditions for each course, which shall be binding on the parties, shall be detailed on the website.

2.- REPRESENTATION

The services related to language courses are organised and provided by ACE Consultores de Idiomas S.A. (trading under the name ‘VERBUM LAB’), ACE Consultores de Idiomas SAU, a Spanish company with registered office at c/ Zurbano 45-1, 28010 Madrid, and Tax Identification Number (NIF) A/78196136, is the legal name, with VERBUM LAB as its trade name. References in this contract to VERBUM LAB are understood to refer to the Spanish company ACE Consultores de Idiomas SAU, which is covered by the applicable Spanish legislation in force.

3.- REGISTRATION AND CONTRACT

Registration can be completed by submitting the Registration Form provided by the school, duly completed in all fields and signed by the student or their parents or legal guardians if they are a minor, together with a deposit payment of 10% of the selected course fee. The Registration Form alone is not sufficient to confirm the student’s place on the course. VERBUM LAB will take the necessary steps to obtain confirmation of this place. Within 14 calendar days of receiving the registration form, VERBUM LAB will send confirmation of the place by email, once the deposit has been paid, indicating the prices of the services indicated on the registration form and the corresponding invoice. At this point, the services will be deemed to have been contracted. The contracting party has 14 days from the date of confirmation of the reservation to notify VERBUM LAB of any errors in the reservation details. Once this period has elapsed, the details will be deemed to have been validated, and any changes to them that may incur expenses will be borne by the contracting party. If the place cannot be confirmed, the amount paid as a deposit will be refunded. Participants have 14 calendar days from the date of booking (course registration) to withdraw from the course without justification. To do so, participants must notify VERBUM LAB of their decision to withdraw from the course by means of an unequivocal written statement. In the event of withdrawal on their part, VERBUM LAB will refund the participant the amounts received from them up to that point by means of a payment in the same form in which they were paid, within a period not exceeding 14 calendar days from the date on which VERBUM LAB is informed of their decision.

4.- PRICE

The price of the courses will be detailed in the information published on the website or in the advertising catalogue, and will be specific to each course.

The price of the course includes:

  1. Language course: classes, as well as teaching materials to be used. The total number of teaching hours will vary depending on the course chosen.
  2. Accommodation with a local family (half board for adults and full board for children and teenagers). This option is only included in courses with accommodation.
  3. Unlimited internet connection at the VERBUM LAB academic centre.
  4. Digital learning resources.
  5. Student level tests (and progress tests in the case of schools for young people).
  6. Academic record and certificate.
  7. The course price does not include: (i) return flights from the national departure point; (ii) processing of visas or other bureaucratic documentation necessary for the student to enter the destination country; (iii) guaranteed internet connection in accommodation, if applicable; (iv) adjustment of the programme price due to upward or downward variations resulting from currency fluctuations; (v) optional services (optional excursions, meals outside of those established, alternative accommodation options, among others).

5.- PAYMENT TERMS AND INVOICING

A deposit of 10% of the course fee must be paid in full at the time of enrolment in order to reserve a place on the course. Otherwise, VERBUM LAB is not obliged to provide any services to the student. The school will provide the student with a supporting document stating the amount paid by the student, the concept and the amount outstanding. The total amount of the course must be paid in full 30 days before the scheduled departure date, and VERBUM LAB may cancel the course if this has not been paid. If a VERBUM LAB course is booked less than 4 weeks before the start date, the transfer must cover the total amount of the services contracted. A 10% deposit is insufficient to reserve the course and will not be accepted in this case.

6.- PAYMENT METHODS

Payment for the course can be made by bank transfer or other payment methods indicated by the school. In the case of bank transfer, it is essential to send VERBUM LAB the transfer receipt by email, indicating the name of the participant and the selected course. All payments must be made in the official European currency (€), in accordance with the prices listed in the official VERBUM LAB catalogue and website.

7.- CANCELLATION POLICY

  • Before the start of the course:

If the student cancels the course at least 7 calendar days in advance, VERBUM LAB will retain the 10% deposit paid.

  • Once the course has started:

In the event of withdrawal from a course that has already started, the school will retain the equivalent of the percentage of the price of the days attended, and the remaining amount of the course fee will be refunded to the student provided that the withdrawal is justified. The cancellation fee is calculated according to the number of weeks of the course that have elapsed, not the number of weeks originally contracted. The remaining amount to be refunded will be paid by bank transfer to the student after the end of the originally booked course. For long-term programmes, if a student wishes to be absent from the course for a period of one or two weeks, they must notify the course director in writing at least two weeks before the start date of the absence. Refunds for this type of absence will also be made at the end of the course. VERBUM LAB will not be obliged to refund the student if the reasons for termination are those specified in clauses 18 and 19 of these General Conditions.

  • Change to higher or lower level courses:

VERBUM LAB does not apply administrative fees for changing course types. Students who decide to change their original course choice to one with a higher fee must pay the difference at the time of requesting the change, which will be refunded if the change cannot be made. If the new course has a lower fee, any difference between the cost of the original booking and the new booking will be refunded on the last day of the course for which the student has requested the change.

8.- FLIGHTS

VERBUM LAB is not responsible for schedule changes, cancellations, or other changes in flights or other means of transport used to reach the destination due to technical or weather reasons, labour disputes, or capacity issues. Any costs arising from changes or cancellations of flights related to the contracting party’s desire to change the programme, destination, start date, or duration of the course will be the responsibility of the contracting party.

9.- MODIFICATION OF THE CONTRACT

(Before the start of the course) In the event that VERBUM LAB is forced to significantly modify any essential element (as defined in clause 4 of this contract) of the contracted conditions, it shall immediately inform the student or, where applicable, their legal representatives. The student shall have the right to choose between (i) terminating the contract without penalty, or (ii) accepting the modification of the contract and its possible impact on the price. In the event that the new programme offered has a lower price, VERBUM LAB shall reimburse the student, where applicable, for the difference in price, in accordance with the contract. The student must notify VERBUM LAB, by any durable medium, of their decision within 3 days of being notified of the modification. If you do not notify us of your decision in the manner indicated, it will be understood that you have chosen to accept the modification of the contract, thereby also accepting any modification in the price and complying with the provisions of clause 7 of this contract regarding the cancellation policy.

10.- INFORMATION SENT BEFORE THE START OF THE COURSE

Once the booking has been accepted, VERBUM LAB will send the student personalised and relevant information about the course they have booked, including (but not limited to):

  • The ‘student handbook’
  • If the transport service is chosen, information about it;
  • If the accommodation service is chosen, either with a local family or in a residence, information about them (contact details and a brief description).
  • For adults, a level test and a needs analysis.
  • All information will be sent to the student in advance by email.

11.- COURSE LEVELS

Before the start of the course, students must take a level test which, depending on the course, may be taken remotely before the student’s arrival or on the first day of class at the academy. The test will consist of a written and an oral part, and the results obtained will be used to place the student in the appropriate level. If there are few students in a particular level, the school reserves the right to combine students of different levels in the same class.

12.- ACCOMMODATION

VERBUM LAB offers some courses that include student accommodation; this accommodation is reserved from the Sunday prior to the start of the course until the Saturday morning after the Friday of its completion, as indicated on the course confirmation invoice. It is the student’s responsibility to book return flights in accordance with these dates, as arrival and/or departure from the accommodation before or after the dates indicated may result in an additional charge for the student. Students who wish to stay longer without classes in order to take an official exam must pay an additional fee for each day of stay. These additional costs are not reflected in the prices in the catalogues or on the website, so they should be consulted in advance with a VERBUM LAB advisor.

13.- HOST FAMILIES, CUSTOMS AND TRADITIONS

Families may not always conform to the ‘traditional’ model and may not necessarily consist of fathers, mothers and children. The meals offered (type, quantity and times at which they are served) will be in accordance with the customs of the host country. The address/name of the host family, as well as basic information about the interests of its members and the type of accommodation, will be provided to students before their departure from their country of origin, which may be up to one week before arrival. Students must adapt to the lifestyle and customs of the country where the course is held. The rules of conduct in the destination countries and the lifestyle in general may not be the same as those in the student’s country of origin, so students are expected to adapt to their new environment during their stay. Host families may be located up to 45 minutes away by public transport from the academic centre where classes are held. For students enrolled in youth programmes, transport from home to school and vice versa will always be provided, but this is not the case for adults.

14.- LESSONS

VERBUM LAB lessons last 60 minutes. The number of hours will vary depending on the course chosen.

Lessons will take place between 8:00 a.m. and 8:00 p.m., Monday to Friday, with five days of classes per week.

15.- TRANSFERS FROM THE DESTINATION AIRPORT

Students may choose to hire a transfer service from their arrival at the destination airport to their accommodation (service also available for the day of return). The price of this optional service varies depending on the city of arrival. This cost covers administrative expenses, communication, welcome service and transport. VERBUM LAB will not be responsible for delays due to traffic, road works or traffic accidents along the route. Additionally, if several students are picked up at the same time, waiting times may be affected. The price of the service will be provided by the school, depending on the airport/station and arrival time.

16.- MEDICAL AND TRAVEL INSURANCE

None of the VERBUM LAB programmes include insurance, so all students are required to have travel insurance coverage, which is also valid in case of medical emergencies. VERBUM LAB shall not be held liable for any events arising from the student’s failure to purchase an insurance policy covering their entire stay and medical and travel needs, and shall therefore be exempt from any liability arising from such failure. The student (or their parent or legal guardian in the case of underage students) confirms that they have an insurance policy that meets the requirements described herein when signing this contract.

17.- PASSPORT AND VISAS

All students need a valid passport or identity card to travel within Europe. Passports and, where applicable, visas must be valid for the entire duration of the programme. If minors do not have a passport, they will need parental permission issued by the local police station (in Spain) and a certified translation into the language of the host country. VERBUM LAB accepts no responsibility for students who do not have these documents, do not have them in order and/or are not ready in time for the day of departure. Therefore, any expenses that may arise from the cancellation of the contracted programme due to non-compliance with the above rules will be borne by the student. Likewise, obtaining the personal documentation referred to here (individual passport, visa, permit, paperwork, etc.) will be the sole responsibility of the student or, in the case of a minor, their parents or legal guardians. VERBUM LAB accepts no responsibility for the procedures involved in obtaining the documents described here and does not offer any kind of sponsorship for their management. VERBUM LAB strongly recommends contacting the relevant consulate for personalised advice on a case-by-case basis.

18.- DELAYS AND ABSENCES

Late arrivals and absences by students at VERBUM LAB academic centres will be considered breaches of contract attributable to the student, and will exempt VERBUM LAB from any refund for poor performance of the contract. Failure to attend all classes may be grounds for not receiving the VERBUM LAB certificate at the end of the course.

19.- DISCIPLINE

Enrolment in VERBUM LAB courses implies acceptance of the rules of coexistence established by the academic centre, as well as those of the host family with whom the student will be staying, if applicable, and acceptance of the laws of the host country. Failure by students to comply with during their stay at the destination, of the rules of coexistence (including the practice of criminal activities and any behaviour that disrupts the learning environment of the classes or damages the property of VERBUM LAB or any of their classmates) and/or the laws of the host country, duly accredited by any means of evidence admissible in law, will be grounds for termination of the contract, attributable to the student. Termination of the contract for reasons attributable to the student will result in the termination of the contractual relationship and their return to their place of origin, at no cost to VERBUM LAB, and without prejudice to compensation for damages caused.

20.- COMPLAINTS ABOUT COURSES

Any differences or complaints that arise during the course, in the opinion of the students, must be communicated in writing to VERBUM LAB staff so that they can be resolved before the end of the course. The school will deal with such complaints with the utmost diligence. Complaints submitted in writing after the end of the course will be dealt with within a maximum period of 90 days from the date of submission.

21.- VERBUM LAB’S LIABILITY

VERBUM LAB shall be liable for any damages suffered by the student as a result of the non-performance or poor performance of the contract (on the part of VERBUM LAB). However, such liability shall cease:

  1. when the defects observed in the performance of the contract are attributable to the student;
  2.  when such defects are attributable to a third party unrelated to the provision of the services provided for in the contract and are of an unforeseeable or insurmountable nature;
  3. when the aforementioned defects are due to force majeure, understood as circumstances beyond the control of the party invoking them, abnormal and unforeseeable circumstances whose consequences could not have been avoided, despite having acted with due diligence; and
  4. when the defects are due to an event that VERBUM LAB, despite having exercised all necessary diligence, could not foresee or overcome.

VERBUM LAB shall not be liable if the student does not have a visa, either due to its refusal or due to delays in its processing by the student. It shall be the responsibility of the student or parent/legal guardian to provide VERBUM LAB with any relevant medical information about the participant, including allergies and past illnesses that may be relevant. They will also be responsible for providing the correct postal address, email address and telephone number in case VERBUM LAB needs to make important notifications, and it will be mandatory to provide the telephone number of an emergency contact who can be reached at any time, if necessary, during the stay.

VERBUM LAB shall not be held liable if the student does not have a visa, either due to its refusal or due to delays in its processing by the student. It shall be the responsibility of the student or parent/legal guardian to provide VERBUM LAB with any relevant medical information about the participant, including allergies and past illnesses that may be relevant. They will also be responsible for providing the correct postal address, email address and telephone number in case VERBUM LAB needs to send important notifications, and it will be mandatory to provide the telephone number of an emergency contact who can be reached at any time, if necessary, during the student’s stay.

22. DISPUTE RESOLUTION

VERBUM LAB shall not be held responsible for the level of progress achieved by students on the course and shall be exempt from any third-party claims, except in cases of negligence duly proven by a court of law. Without prejudice to the jurisdiction of the Courts and Tribunals which, in accordance with Spanish legislation, may be competent to resolve any conflict or dispute relating to the contracted services, the parties may expressly agree that disputes shall be resolved in accordance with the Consumer Arbitration System. In the latter case, submission to the Consumer Arbitration System shall be voluntary and must be duly recorded in writing, by electronic means or by any other legally admissible method that allows evidence of the agreement to be retained.

23. DATA PROTECTION

The student and/or the student’s parents or legal guardians are informed in a clear and unequivocal manner that the student’s personal data provided, including, where applicable, health data and information relating to the parents or legal guardians themselves, shall be incorporated into a mixed data file owned by VERBUM LAB, for the purpose of being processed insofar as necessary or appropriate for the development of the legal relationship established between the contracting parties.

The purpose of this file is the proper fulfilment and management of the relationship we maintain with the student and, where applicable, to keep the student informed about our courses and services which we believe may be suited to their profile, through any means of communication, including electronic means and, where applicable, newsletters.

Both the student and their parents or legal guardians have the right, at any time, to object to VERBUM LAB using their personal data for the purpose of sending commercial communications by contacting the school via the means indicated below, as well as through the means indicated in each commercial communication sent by VERBUM LAB.

The student and/or the student’s parents or legal guardians are informed of the transfer of personal data to collaborating entities of VERBUM LAB (if any), insofar as this is necessary to comply with legal obligations or when required for the development, fulfilment and monitoring of the legal relationship established between the parties.

By accepting these General Terms and Conditions, the student and/or their legal representative consent to the free use by VERBUM LAB of any photographs, films or sound recordings created during the stay for promotional purposes in which the student’s image appears, thereby authorising VERBUM LAB to use the student’s image for the aforementioned purposes, unless otherwise expressly stated using any legally accepted durable medium.

Likewise, consent is given for the free use of material produced by the student and uploaded to social media for advertising and marketing purposes relating to the school’s products and services. To this end, the student grants a free, worldwide licence, valid until such material enters the public domain, over the intellectual property rights of said material (i.e. photographs, videos, etc.), allowing VERBUM LAB to use it for these purposes through its incorporation into advertising and/or promotional materials for its products and/or services. This includes reproduction, distribution, communication to the public (including making it available to the public) and transformation.

Both the student and their parent or legal guardian may exercise, at any time, their rights of access, rectification, cancellation and objection in relation to their personal data by written communication addressed to VERBUM LAB, Juan Bravo Street no. 4, 1ºA, 40001 Segovia (Spain), or by email to info@verbum-lab.com. Such communication must include full name, details of the request, address for notifications, date, signature and a photocopy of the National Identity Document (DNI) or another valid identification document.

24. BANK HOLIDAYS

The school shall remain open and operate as normal, unaffected by local, regional or national public holidays. The only days of the year on which the school will not provide any service are 1 January and 25 December. In cases where a student is affected by any of these closure days, compensation will be offered either by rescheduling the missed class hours during the week or by refunding them.

Accommodation, where this service has been chosen, shall be available as normal and shall not be affected by any public holidays unless otherwise indicated to the student. In the case of long-term stays where the student opts for accommodation with a host family, a change of family during the stay may occur, in which case the student will be informed of this necessity prior to arrival.

25. SPECIFIC TERMS FOR CHILDREN AND YOUNG PEOPLE (AGES 7–17)

25.1. VERBUM LAB reserves the right to issue a warning letter in the event of a student’s misconduct and, should there be no improvement in the student’s attitude or behaviour, to send the student home, with all resulting costs borne by the parents or legal guardians.

25.2. Furthermore, VERBUM LAB reserves the right to send a student home without a warning letter or prior notice if the student has committed a serious offence, particularly offences involving the police, including theft, smoking in any school building, and the possession, purchase or consumption of alcohol or illegal drugs.

25.3. For students staying with host families, parents must explicitly indicate by email whether they authorise their child to go out in the afternoons/evenings once classes have finished, i.e. without supervision. As a general rule, children under the age of 13 are not permitted to go out unsupervised after dinner; young people aged 14 and over who have obtained such consent from their parents or legal guardians must always return to the host family home before 22:00.

Students are expected to respect the rules of the host family household, who may adjust the curfew time if they deem it appropriate (always in favour of an earlier return than 22:00). Young people attending residential courses will take part in organised activities on the premises, and unsupervised outings are not permitted regardless of age, except in exceptional cases where an agreement is reached between the student’s family and the school team. Under no circumstances shall VERBUM LAB be responsible for any incident that may occur while the student is enjoying unsupervised outings.

26.  OTHER IMPORTANT TERMS 

26.1. This contract constitutes the entire agreement between the student and VERBUM LAB in relation to the booking.

26.2. VERBUM LAB may transfer its rights and obligations under this contract to another organisation. The student will always be notified in writing should this occur, and the student’s rights and VERBUM LAB’s obligations under this contract shall not be affected.

26.3. This contract is between the student and VERBUM LAB. No other person shall have any right to enforce any of its terms.

26.4. Each clause of this contract operates separately and independently. If any court or competent authority decides that any of them is unlawful, the remaining provisions shall remain in full force and effect.

26.5. If VERBUM LAB does not insist on the student complying with any of their obligations under this contract, or does not enforce its rights against the student, or delays in doing so, this shall not mean that VERBUM LAB has waived its rights or that the student does not have to comply with their obligations, all in accordance with this contract. Any waiver by VERBUM LAB of a breach by the student shall always be communicated in writing and shall not constitute an automatic waiver of any subsequent breach by the student.

27. VALIDITY OF PROMOTIONAL MATERIAL AND GENERAL TERMS AND CONDITIONS

The information included in the catalogue, website or social media, as well as these General Terms and Conditions, shall be valid from the moment of publication. VERBUM LAB shall carry out reviews annually or whenever required by the school’s services.

This information has been edited by VERBUM LAB and is its property. The mere act of signing the enrolment application and/or the student’s participation in a course implies acceptance of and compliance with all the general conditions set out in this Contract. All information is correct as at the date of edition, 1 January 2026.
